PRIVACY POLICY
We are committed to protecting your privacy. We will only use the information that we collect about you lawfully.
We collect information about you, as a data controller, for 2 reasons: firstly, to process your orders and secondly, to provide you with the best possible service.
This may include: 1 -Your name and contact information 2 – Details of the products and services you purchase from us, including; location, login, security information and configuration data 3 – Records of communications with you via telephone, email, post and tickets 4 – Billing information and payment records
Other than for account servicing and billing, we will not contact you in future unless you have given us your explicit consent or we are required to do so for compliance reasons. If you do provide consent for additional communications, e.g. by subscribing to product/service announcements etc, you are free to withdraw that consent at any time.
We will not pass your contact details to any 3rd party for the purpose of marketing.
The type of contact information we will collect about you includes:
- your name
- address
- phone number
- email address
We will never collect sensitive information about you without your explicit consent.
The information we hold will be accurate and up to date. You can check the information that we hold about you by contacting us in writing or using the customer portal. If you find any inaccuracies we will delete or correct them promptly.
If you wish to have any data we hold about you to be removed, we will ensure this is actioned promptly. Doing so may cease any related service that we provide to you. We will inform you if that is the case.
We hold and process personal data to comply with our statutory and regulatory obligations in accordance with the prevailing law.
We will keep your personal information confidential and secure except to the extent that we are compelled to disclose it by law (for example where fraud or other crime is involved) or to comply with an instruction from a regulatory body.
In some circumstances, we will need to pass your personal data to trusted 3rd parties in order to provide some services to you.
We may also handle data of our indirect reseller customers, but only for the purpose of providing the requested service(s). Where specifically important 3rd party terms and conditions or privacy policies exist, we will seek to inform you directly at the point of order/submission and gain your specific consent/acceptance.
Wholesale and reseller (indirect customers): We may retain and use personal data submitted via one of our reseller customers to us in order to provide a product/service for you. We will treat this data as if you were a direct customer and will only use it for the purpose of providing the requested service.
By submitting your information to us, you consent to the use of that information as set out in this policy. If we change this privacy policy we will post the changes on this page, and may place notices on other pages of the website, so that you may be aware of the information we collect and how we use it at all times.
We only store and process your data on servers that are based in the UK and wholly owned and managed by us.
All data for billing and service management are kept secure on our own systems. We do not store any payment information. Payments that are not made by direct bank transfer to us are handled by 3rd parties with their own security and privacy policies.
We do not snoop or otherwise packet capture or analyse data transmitted via any of our connectivity products, with the exception of during specific fault finding tasks. We do not log or retain DNS queries made via our customer facing resolvers or otherwise have the ability to link any query logs to a specific customer or connection. We do not aim to filter any traffic, however, we may, from time to time, have to manipulate certain traffic or manage its flow or routing in order to ensure a stable service for all customers.
Customers that store any data (files, messages, contacts, calendar, customer data etc) on services we provide, such as email mailboxes, cloud storage, hosted CRM, business management platforms, website hosting and database space and call recordings etc should additionally note that our representatives may, from time to time, require access to/or visibility of this data for the sole purpose of support and troubleshooting. We treat our customers’ data with the highest levels of integrity and privacy at all times. Of course, as part of the data storage process, we will transmit, store, log and otherwise handle this data on your behalf. Our managed services utilise SSL encryption so that any data transmission is end to end encrypted whilst being sent/received.
Usage information. We utilise basic logging on all services we provide in order to help identify and rectify issues. These logs will store the access IP address and in some cases link that to a specific account/user. Likewise, where usage is charged specifically, e.g. a telephone call, we will log this data for billing and customer reporting purposes.
Device information. For some services, such as hosted/cloud email, we have to collect information from and about the devices you use to access the Service(s). This includes things like IP addresses, the type of browser and device you use, the web page you visited before coming to our sites, and identifiers associated with your devices. None of our apps, products or services provide location information to us. We use device information to ensure efficient synchronisation and to detect abuse and identify and troubleshoot bugs and other service issues.
Our VOIP services offer encryption/security for the signalling and voice traffic elements on supported handsets. Our VOIP app will utilise encryption by default. Once we pass the call to a 3rd party carrier we can no longer guarantee this. If you record calls, these will be stored on our servers as an encrypted file and only decrypted to allow playback via our portal. Access to recordings is restricted by per user portal permissions.
We will never utilise any data stored on any of our services to generate marketing leads or personalised advertisements based on the content of any stored data.
If you have a complaint regarding any breach of this privacy policy, please contact us in writing. When we receive the complaint, we will review it and ensure that we are in compliance with our privacy policy and all applicable laws. We will contact you to inform you of the results of our review of your complaint.
